In the UK, WSP | Parsons Brinckerhoff’s 5,200 people provide consultancy services to all aspects of the built and natural environment working with governments, planners, developers and architects.

Challenge

WSP | Parsons Brinckerhoff was moving to their new HQ building in London. This was considerably bigger than their previous workplace, comprising of 58,000 sq. ft.

Prior to the move, WSP | Parsons Brinckerhoff was facing huge problems with room bookings. They had no room booking system in place, all bookings were managed using spread sheets which was very time consuming and confusing for administrators, as well as frustrating for employees.

People had no freedom to choose what room and time they could book for their meetings, and had to request all bookings, visitors and additional requirements such as catering, through the administrators. As the room booking process was so complicated, people regularly found themselves being bumped out of rooms due to double bookings and mistakes.

WSP | Parsons Brinckerhoff’s meeting room utilisation was around 40%. They knew that managing this space orrectly in the new office could result in a substantial saving. Having previously heard of Condeco online, the Real Estate Director prompted the UK Head of Projects – Corporate Real Estate to further explore the solution.

Solution

WSP | Parsons Brinckerhoff implemented Condeco Meeting Room Booking Software to manage their 32 meeting rooms in London.

Condeco Solution software allows employees to book and manage their own meetings, which relieves their administrators from dealing with endless booking requests and changes. Additional catering, visitors and equipment can be booked within the same booking form, which saves people a tremendous amount of time and effort. To make things even simpler, WSP | Parsons Brinckerhoff installed Condeco’s MS Outlook Add-in, meaning people can book their meetings straight from their Outlook calendar.

To help reduce their meeting room no-show’s problem and prevent confusion as to whether or not a room is available, Condeco’s Room Booking Screens were installed outside of each meeting room. This has stopped double bookings occurring – if a host fails to show up for their meeting, the room is auto-bumped after 15 minutes and freed up for others to use.

To help WSP | Parsons Brinckerhoff manage their desk space and improve utilisation, Condeco Desk Booking Software was introduced. This integrated with the other Condeco solutions giving WSP | Parsons Brinckerhoff greater control of their workspace and a fuller picture of how their people used it.

With the full support of the senior management team and addition of lockers for storage, employees quickly adapted to the new ways of working.

Meeting Room Booking Screens

Condeco has now been installed all over the UK, in eight different offices. To date Condeco manages 763 desks and 84 meeting rooms, which continues to grow as the business adapts and expands their offices.

Now WSP | Parsons Brinckerhoff can manage their workplace and resources more efficiently, and reduce or repurpose underused spaces.

People are using break out spaces more to collaborate, which frees up the meeting rooms for more private and formal meetings.
